AI Enterprise Literacy Pilot FAQs

The AI Enterprise Literacy Pilot is an initiative from the N.C. Department of Information Technology’s Office of AI & Policy to help state employees build practical skills and confidence using generative AI tools.

As part of this initiative, selected staff receive access to Gemini Enterprise, training, and other materials to support skill building.

The goal is to help employees understand AI capabilities, use them responsibly, and prepare for broader use across state government.

Gemini Enterprise is a comprehensive suite of tools and services for large organizations that support business processes, data management, and collaboration.

Designed to enhance productivity and streamline workflows, it offers features such as:

  • Advanced analytics

  • Real-time collaboration tools.

These capabilities foster teamwork and empower you to make informed, data-driven decisions.

No. It is not replacing Microsoft Copilot, which many state agencies already use. If you already have Copilot, you will still be able to use it. Gemini Enterprise will be another AI tool you can use as a participant in the pilot.

If you work at a participating agency, you may request a license. Requests will require approval from your manager, and agency leadership might also have additional requirements.

You must also complete the Responsible AI for Public Professionals (Innovate US) training, which can be found in the NC Learning Center by searching for “InnovateUS.”

We will provide more information soon on how to request a license.

We are rolling out Gemini Enterprise to agencies in phases. This ensures proper training, support, and technical readiness. It also helps us and agency IT teams monitor adoption, address issues early, and ensure a smooth experience for all users as access expands over time.

Features & Functionality

Gemini Enterprise provides advanced analytics, secure document management, real-time collaboration tools, and customizable dashboards. These features help you improve efficiency, deliver services, and make data-driven decisions.

Gemini will be integrated into key systems, such as the NCDIT Microsoft 365 tenant (meaning agencies using the shared environment can use it with Teams, Outlook, and SharePoint).

If your agency does not use the NCDIT tenant, you can still use Gemini Enterprise, but it won’t be able to access your email, Teams messages, or files.

You can create custom chatbots, known as light agents, which are grounded in sources you choose, including Outlook, Teams, and SharePoint connections.

Security & Compliance

Gemini Enterprise employs sophisticated encryption, NCID single-sign-on integration, routine security monitoring, and Model Armor to protect sensitive government data, ensuring adherence to both state and federal requirements.

Model Armor is a Google Cloud service that enhances the security and safety of your AI applications. It screens large language model (LLM) prompts and responses to protect against various risks and ensure responsible AI practices. Although it is your responsibility as a user to only submit public data, Model Armor helps ensure you do not submit sensitive data. It also maintains compliance and enforces AI safety and security policies consistently across AI applications.

The data you put into Gemini Enterprise (including data from Teams, Outlook, and SharePoint) is not ingested or stored by the platform itself, because it operates through a federated connection. This means that the data you upload remains within our Google Cloud Platform environment and is not transferred to external servers. This approach provides an additional layer of privacy and control.

You may enter general business information, non-sensitive project details, and data that is not classified as confidential or restricted into Gemini Enterprise.

Do not enter confidential or restricted data, such as:

  • Personal information about employees or residents (e.g., Social Security numbers, medical records)
  • Sensitive financial data (e.g., payroll details, account numbers)
  • Legal documents marked as confidential
  • Any information protected by law or regulation (e.g., HIPAA, FERPA, CJIS)

If you are unsure whether your data is allowed, consult your agency’s data classification policy or contact your IT or security team for guidance.

You are responsible for reviewing and independently fact-checking any output before using the content for official business. Do not use AI-generated output to make decisions that affect the public (e.g., determining eligibility for government benefits).

We are working with Google to offer a series of training sessions to help you become proficient with Gemini Enterprise.

In addition, we will be scheduling regular office hours so you can ask questions, receive support, and get guidance on specific features and workflows.

You must review the Google Generative AI Prohibited Use Policy and agree not to use Gemini Enterprise in any way that violates this policy.
