New Contract Renewal Notification Process Improves Planning and Accountability

The Contract and Vendor Management Team within the Statewide IT Procurement Office has launched a new process to notify agencies of upcoming contract renewals.

Agencies will now receive email notifications for contracts valued over $250,000 that are set to expire within the next 12 months. These notifications will be sent to the primary contact of record and will include key contract details such as:

  • Contract number and name
  • Contract value
  • Start and end dates
  • Vendor name

This proactive approach is designed to help agencies plan ahead, ensure continuity of services, and support the N.C. Department of Information Technology’s goals of achieving cost savings and maximizing the value of state resources.

As part of the renewal process, agencies will be asked to complete the following steps:

  • Strategic purchasing review
  • Cybersecurity analysis
  • Terms and Conditions refresh
  • Any additional required documentation

Action Required: Please respond to the notification within seven days of receiving the email.
