Email Filtering & SMTP Relays Email Filtering We are constantly bombarded by wide variety of email threats including phishing, malware, impostor threats, bulk email, spam and more. Business email compromise attacks have increased exponentially in recent years and resulted in substantial financial losses in some cases. The N.C. Department of Information Technology offers an email filtering service that utilizes the Proofpoint Messaging Security Gateway. This cloud-based service supplies anti-virus, anti-spam filtering, content polices and targeted attack protection for the NCDIT Microsoft 365 email system and other agency email systems. Email filtering scans millions of messages addressed to the state monthly, identifying and blocking messages containing spam and other malicious mail activity. Proofpoint filters all inbound and outbound emails. Users can also release, block and always allow messages from their own end user spam quarantine. SMTP Relays Sending a high volume of transactional emails (e.g., marketing newsletters, welcome emails, order confirmations, shipping notifications, account opening emails, one-time passwords) can cause potential problems if not done right. Using your primary peer-to-peer email server to deliver high volumes of email can cause: Delivery rates to suffer A slowdown in your IT system’s bandwidth Your emails mislabeled as spam and winding up in spam or junk folders NCDIT’s internal SMTP relay service routes high-volume email messages through SMTP servers to protect our sender’s reputation and avoid email deliverability issues, including keeping off email blocklists. Enterprise customers can relay messages through NCDIT for their email devices and applications. This service is provided using either an authenticated account on NCDIT's Microsoft Exchange servers or a connection to NCDIT's internal SMTP relay servers. Roughly 44 non-Microsoft 365 domains in local county governments and community colleges use this service for a fee. After these initial steps are taken, a Microsoft 365 team member will contact your technical staff to coordinate the details needed to fulfill your request. New email users are provisioned through the NCID Identity Management service. The Microsoft 365 team works with NCID to set up ongoing provisioning for new customers.
